Optional protection for peace of mind. The Porta-Air Damage Waiver reduces your financial responsibility for accidental damage during your rental period giving you confidence while protecting our equipment.
Overview
The Porta-Air Damage Waiver is an optional protection plan designed to reduce the customer’s financial responsibility in the event of accidental damage to rental equipment during the rental period. The program ensures customer confidence while maintaining asset protection and operational consistency for Porta-Air.
Terms and Coverage
- • Fee: $49 per rental week or $7 per day (optional).
- • Coverage: Accidental damage to the 36,000 BTU unit or its accessories caused by unintentional mishandling, normal use, or environmental exposure during proper operation.
- • Customer Deductible: $250 maximum out-of-pocket per incident when the waiver is purchased.
- • Without Waiver: Customer assumes full repair or replacement liability, up to $5,000 for equipment and $1,200 for accessories.
- • Exclusions: The waiver does not cover loss, theft, fire, flooding, negligence, improper electrical connection, or intentional misuse.
Process and Documentation
- Pre-Setup Inspection: Porta-Air staff document equipment condition with dated photos before installation.
- Customer Acknowledgment: Customer initials the waiver selection on the digital agreement before payment.
- Post-Pickup Verification: After retrieval, Porta-Air staff inspect and document the unit condition.
- Damage Handling: If damage is discovered, a repair estimate is generated.
- • If the waiver is purchased, the deductible is applied.
- • If no waiver is selected, the repair or replacement cost is billed directly to the customer.
Security Deposit Policy
To ensure accountability and protect company assets, Porta-Air collects a refundable security deposit for every rental. The deposit covers incidental damage, lost accessories, or cleaning required due to misuse or neglect. This policy promotes responsible use and streamlines post-rental inspections.
Terms and Conditions
- • Deposit Amount: $250 per unit (standard).
- • Collection Method: Authorized on the customer’s credit or debit card at the time of booking. This authorization is a hold, not a charge, and is released once the equipment is returned in acceptable condition.
- • Refund: Deposits are refunded or holds are released within 3–5 business days after pickup and final inspection.
- • Reduction or Waiver Options:
- – Deposit may be reduced to $150 for returning customers with a clean rental history.
- – Deposit may be waived entirely if the customer purchases the Damage Waiver Plan.
- – Full deposit is required for high-value multi-unit rentals.
Application of Deposit
Deposits may be applied toward:
- • Repair of accidental or cosmetic damage not covered by the waiver.
- • Replacement of lost or damaged accessories (ducts, clamps, seals, inserts).
- • Cleaning or restoration of equipment affected by improper use or neglect.
If charges are applied, Porta-Air will provide itemized documentation, including before-and-after photos and a written cost breakdown.
